Real-time alerts to prevent overlaps and keep your work seamless.
User Presence Alerts are designed to notify you when another team member is working on the same event or page, when you have the event open in multiple tabs, or when someone saves on the page you are working on. These alerts help avoid accidental changes, ensuring everyone’s work stays safe and organized.
Where to Find the Settings
In the ‘My Account’ section of your Details account, you’ll find a new feature called ‘User Presence Conflict Alerts.’ There are two toggles available:
- Alert Others: Let others know when you’re working on an event.
- Alert Me: Get notifications when someone else is in the same event or page as you.
By enabling these alerts, you can safeguard your work and streamline collaboration across your team.
💡 Owners will be able to choose whether these are automatically enabled for Managers and employees and whether those role levels can turn the alerts on or off.
Owners can set up these defaults by going to the Authorized Users page in the Main Menu under 'Settings.' From there, you can utilize the 'Menu' button in the top right-hand corner to view the following company user settings options.
How the Alerts Work
User Presence Alerts are designed to reduce conflicts by letting you know when:
- Another team member is working on the same page.
- Another team member works on the same event but on a different page.
- You have the same page open in multiple tabs.
- Someone has saved on the same page you are currently working on
Each type of alert appears as a color-coded notification bar at the top of your screen, accompanied by an icon at the bottom for easy identification.
Alert #1: Another Team Member on the Same Page
If another team member is currently working on the same page, you’ll see a red bar across the top of your screen, along with a warning icon at the bottom of the page. This is to prevent you from accidentally saving over another person's work or vice versa.
Example: You and a colleague are editing the same Worksheet. This alert will prompt you to coordinate or wait until they’ve finished making changes.
Alert #2: Another Team Member in the Same Event (Different Page)
If someone else is in the same event but on a different page, a yellow bar will appear at the top of your screen with a person icon at the bottom. This alert encourages awareness of shared access, even if you’re not working on the same task.
Example: You’re editing the Details page while your colleague is updating the Proposal page for the same event.
Alert #3: Same Page Open in Multiple Tabs
If you open the same page in more than one tab, a yellow bar will notify you, along with a red '!' alert icon at the bottom. This helps you avoid making conflicting edits between tabs.
Example: You’ve accidentally opened the same worksheet in two tabs and begin editing in both. This alert prevents unintentional overwrites or confusion.
Alert #4: Another user has saved that page since you got on it
If another user comes onto a page you are actively working on and saves the page, a red bar will come across the top, and you will see a floppy disk icon at the bottom.
Example: You are on the Details page, and another user comes onto the Details page for the same event and saves the page while you are working on it.
